IMPORTANT NOTE:
Timings shown in red denotes peak visitation within exhibit hall. Exhibit Hall is open throughout timings listed above; there will be daily breakfast and lunch symposiums available to exhibitors with full conference registration only. Lunch is not available for exhibitor only badge holders.

Exhibit Hall will open 60 minutes before official hall opening hours to Exhibitors only! Please note that empties will not be delivered until 13:00 earliest to ensure that hall is clear of any attendees. *Timings are still being finalised and further updates will be made available later.

For Symposium Sponsors

Breakfast & Lunch Symposia

 Room: MR 3 & 4 (North Building, East Concourse)
 Room access:  Breakfast = access to room 45 minutes prior to start of session
Lunch = access to room 60 minutes prior to start of session
 Flow of session:  We suggest allowing the first 15 minutes (breakfast) or thirty minutes (lunch) to allow ALL attendees/exhibitors to move through buffet and eat prior to starting your session to avoid as much disruption to your speaker (s) as possible.  
 Moderators: CANO will not provide a moderator/facilitator for this session, however a note for introduction, please announce to participants that as a courtesy to symposium presenters and sponsor that they should keep talking to a minimum or as soon as they have finished eating to leave the room.
 AV:  Full meeting room AV will be set up, including: 
Two screens (16:9 format ratio) - currently both screens will show English slides, should you wish to present one screen in English and one screen in French additional costs will apply (please contact Paul for pricing). Projector, speakers, lectern with lectern mic, two x aisle mics with stands for audience Q&A, slide forwarder, laser pointer and countdown timer. CANO is still determining whether they will or will not offer Simultaneous Translation - this will be decided closer to meeting date.
 Head table:  Will you require a head/panel table?

 Floorplan:  TBC
 Menus:  These have been specially created by Chef for our Annual Meeting and this menu compliments food and beverage chosen over the course of the entire meeting. All buffet items are clearly labelled and will include vegetarian and gluten sensitive options. 
 Enhancements:  Soft drinks/ sparkling water are currently NOT included within your lunch symposium costs, therefore should you wish to add these for lunch they will be billed based upon consumption at $5.50 inclusive of gratuity and tax? ACTION NEEDED: If you would like to include beverages please confirm with Paul in writing no later than 12noon (EST) Wednesday September 25, 2019

 

Please note that priority will be giving in filling breakfast and lunch symposia on a first-come first-served basis.

Focus Group v. Ancillary Meeting

What does CANO/ACIO classify as a Focus Group?
A Focus Group is an educational/informational program intended to reach a targeted section of our membership and conference delegates. A focus group provides the optimal opportunity for participants to share their views and expertise, with adequate discussion.

What does CANO/ACIO classify as an Ancillary Meeting?
An Ancillary Meeting is a meeting held in conjunction with the annual CANO/ACIO conference (during the two days preceding the first conference day or during the conference) that is not considered a Focus Group or educational/informational program, and is typically held among employees/existing representatives of an organization. For example, marketing representatives from organization X may be attending the conference and wish to meet to discuss internal company business while at the conference to make the most of their time there.

If one or more of the following apply to the meeting you intend to host, the meeting does not constitute an Ancillary Meeting per this policy:

  • If you are trying to access a sub-set of oncology nurses (e.g. from the local area, from the conference delegates, from CANO/ACIO membership, etc); AND/OR If you are soliciting participation of oncology nurses that are not employed by your organization or are not existing representatives/consultants of your organization
    AND:
    • You intend to use the meeting time, in part or in whole, to inform/educate the participants
    • You intend to use the meeting time, in part or in whole. to discuss the information/education presented
    • You intend to use the meeting time, in part or in whole, to collect participant feedback/insights/recommendations/suggestions
  • If you are offering renumeration (in any form) for participation in the meeting e.g. honorarium, expenses, etc, to one or more individuals attending
  • If one or more participants have paid to attend the meeting
